Permissions
Introduction
Permissions is a feature for managing user access rights to various functions within the system, such as Access Token, Encryption, Tokenization, Data Masking, Group, Audit log, Backup Restore, License, TakaLock, Syslog Log Integration, Splunk log Integration, Loki Log Integration, Decrypt Client, and Notifications. Each permission can be tailored based on the user's role so that access remains aligned with their needs and responsibilities.
Below is a guide to managing permissions in the system. This guide covers the process of creating new data, viewing the data list, filtering, searching, editing, and deleting data.
1. Create New Permission
Follow these steps to create a new permission in the system:
1. Access the Permissions menu
- Open the User Management menu on the navigation panel.
- Select the Permissions submenu from the options that appear.
- Click the Add New button located on the right side of the screen to begin creating a new permission.
2. Complete the form with the following data
- Permission Name: Enter the permission name.
- Description: Add a permission description to provide additional details (optional).
3. Select Permission Configuration
Select the access rights needed for each of the following features:

Access Token
- Read: Allows the user to view data.
- Create: Allows the user to create data.
- Update: Allows the user to modify data.
- Regenerate Token: Allows the user to regenerate a token.

Encryption
- Read: Allows the user to view data.
- Create: Allows the user to create data.
- Update: Allows the user to modify data.
- Rotation Key: Allows the user to perform key rotation.
- List Rotation Key: Allows the user to view the list of key rotations.
- Delete Rotation Key: Allows the user to delete a key rotation.
- Encrypt: Allows the user to encrypt data.
- Decrypt: Allows the user to decrypt data.

Tokenization
- Read: Allows the user to view data.
- Create: Allows the user to create data.
- Update: Allows the user to modify data.
- Tokenize: Allows the user to tokenize data.
- Detokenize: Allows the user to detokenize data.

Masking
- Read: Allows the user to view data.
- Create: Allows the user to create data.
- Update: Allows the user to modify data.
- Masking: Allows the user to mask data.

Group
- Read: Allows the user to view data.
- Invite Member: Allows the user to invite members.
- Remove Member: Allows the user to remove members.

Audit Log
- Read: Allows the user to view data.
- Export: Allows the user to export audit log data.

Backup Restore
- Read: Allows the user to view data.
- Manual Backup: Allows the user to back up data manually.
- Automatic Backup: Allows the user to schedule automatic data backups.
- Restore: Allows the user to restore data from an available backup.
- Download: Allows the user to download a backup file.
- Delete: Allows the user to delete backup data.

- Read: Allows the user to view data.
- Update: Allows the user to update the license.

TakaLock:
- Lock: Allows the user to lock the application through TakaLock.

Syslog Log Integration
- Read: Allows the user to view data.
- Sync: Allows the user to synchronize and send logs to the Syslog server.
- Update: Allows the user to modify data.
- Test Connection: Allows the user to test the connection to the Syslog server.

Splunk Log Integration
- Read: Allows the user to view data.
- Sync: Allows the user to synchronize and send logs to Splunk.
- Update: Allows the user to modify data.
- Test Connection: Allows the user to test the connection to Splunk.

Loki Log Integration
- Read: Allows the user to view data.
- Sync: Allows the user to synchronize and send logs to Loki.
- Update: Allows the user to modify data.
- Test Connection: Allows the user to test the connection to Loki.

Decrypt Client
- Read: Allows the user to view data.
- Delete: Allows the user to delete data in the Decrypt Client.
- Create Encryption: Allows the user to create an encryption configuration through the Decrypt Client.
- Create Tokenization: Allows the user to create a tokenization configuration through the Decrypt Client.

Notification
- Backup Recovery: Allows the user to receive notifications related to data backup and recovery.
- Compliance Audit Trail: Allows the user to receive notifications related to compliance and audit trails.
- Integration API Activity: Allows the user to receive notifications related to API integration activity.
- Key Lifecycle Management: Allows the user to receive notifications related to key lifecycle management.
- Network Connectivity: Allows the user to receive notifications related to network connectivity.
- Operational Maintenance: Allows the user to receive notifications related to system operations and maintenance.
- Security Access Control: Allows the user to receive notifications related to security and access control.
- System Health Performance: Allows the user to receive notifications related to system health and performance.
- User Role Management: Allows the user to receive notifications related to user and role management.
Check the box for each access right you want to grant according to the user's role and responsibilities. To select all, check the box next to the feature name.
4. Save the configuration
Once all fields are completely filled in, click the Create Permission button.
A pop-up notification will appear stating that the permission was created successfully.
2. List Permissions
After the data has been successfully created, users can view the list of Permission Data saved in the system.
Below is an explanation of each table column displayed on the Permissions page:
- Name: The name of the permission registered in the system.
- Description: Displays the description associated with the permission.
- Updated By: Displays the name of the user who last updated the permission.
- Last Updated: Displays the date and time when the permission was last updated.
- Action: Contains a three-dot icon button that allows users to manage the permission, such as editing or deleting it.
3. Filter Permissions
On the Permission page, there is a Filter feature indicated by a funnel icon. This feature helps users filter permissions by updated by, making it easier to display relevant information.
Below are the steps to use the Filter feature on the Permission page:
1. Open the Permission Menu
Open the User Management menu on the navigation panel, then select the Permissions submenu to display the list of available permissions.
2. Display the Filter Panel
Click the Filter button at the top right of the table to display the filter options.
3. Select Filter Criteria
- Filter permissions based on the user who last updated them.
- Check one or more users as needed.
4. View the Filter Results
After selecting a filter, the system will automatically display the list of permission data matching the selected filter.
5. Clear the Filter
- To remove a specific filter, uncheck the selected option.
- To clear all filters at once, click the Clear all filters button at the bottom of the filter panel.
- Once the filters are cleared, the system will automatically display all permission data without any filter restrictions.
4. Search Permissions
The search feature makes it easy for users to find specific Permission Data without having to browse the entire list manually.
Below are the steps to use the search feature:
- Open the User Management menu on the navigation panel.
- Select the Permissions submenu from the options that appear.
- Locate the Search field at the top right of the table.
- Enter a keyword in the Search field. The keyword can be a permission name.
- The system will automatically display the list of Permissions matching the entered keyword.
- To display all data again, manually clear the keyword from the Search field.
5. Edit Permissions
On the Permission page, users can update permission information as needed. The Edit feature allows changes to data such as the permission name, description, and permission configuration.
Below are the steps to use the Edit feature on Permission:
1. Open the Permission Menu
Open the User Management menu on the navigation panel, then select the Permissions submenu to display the list of available permissions.
2. Open the Action Menu
- In the Action column of the permission row you want to edit, click the three-dot icon.
- Click Manage or click the permission name to open the permission detail page.
3. Permission Detail Page
On this page, users can view complete information about the permission, including:
- Permission Details: Displays the permission name and description.
- Permissions Configuration: A list of the specific access rights granted, such as Read, Create, Update, Delete, and other relevant actions for each feature.
- Activity Log: Displays the history of activities performed by the permission. Use the Load More button to display the complete history.
4. Edit Permission Data
- Click the Edit button at the top right of the page.
- Make the necessary changes, such as:
- Updating the permission name.
- Updating the description.
- Updating the permission configuration.
5. Save Changes
- After making the changes, click the Save Change button to save the updated data.
- The system will display a notification indicating that the data was successfully updated.
6. Delete Permission
On the Permission page, users can delete permissions that are no longer needed.
Below are the steps to delete a Permission:
1. Open the Permission Menu
Open the User Management menu on the navigation panel, then select the Permissions submenu to display the list of available permissions.
2. Select the Permission to Delete
- Locate the permission you want to delete in the Permission table.
- In the Action column of the permission row you want to delete, click the three-dot icon.
- Click Manage or click the permission name to open the permission detail page.
3. Click the Delete Button
- Once the detail page opens, click the Delete button located at the top right of the page to proceed with the deletion process.
4. Confirm the Deletion
- After clicking the Delete button, the system will display a confirmation window to delete the permission.
- At this stage, you will be asked to enter the name of the permission to be deleted, matching the text displayed on the screen.
- After entering the permission name, click Yes, Delete to confirm the deletion.
Be sure to double-check before deleting a permission, as this action cannot be undone.
